Communications Assistant

General

The Communications Assistant plays a supporting role to members of the Department in maintaining day-to-day administrative, research, project planning and community development duties.

Major Duties:

  • Working closely with the Department to plan, deliver and evaluate all aspects of the Department’s corporate events, including community meetings, visits by international delegates, conferences, ceremony awards, etc. Duties include:
  • Develops, organizes and manages Canfor special events and meetings from concept to completion, ensuring they operate smoothly and efficiently;
  • Researches, and summarizes project requirements;
  • Coordinates and communicates event details with project stakeholders, including both internal and external counterparts;
  • Coordinates guest lists, food service arrangements, menu planning, nametags and staffing;
  • Researches and provides the Communications Department with costs and value-based analyses of identified suppliers to achieve the best value for money;
  • Assists with all communications and networking in support of special events, and assists with development of new opportunities to build awareness;
  • Responds to enquiries from the public about events, including assisting with media requests;
  • Assists in the preparation of event communications materials;
  • Provides the Communications Department with regular status reports on the project and,
  • Maintains administrative & financial records and filing systems, responds to inquiries, develops databases in relation to the event.
Providing administrative and research support across all aspects of the Communications Department’s initiatives, including:

Corporate publications:
  • Internal newsletter
  • Sustainability report

Advertisements:
  • Obtain and compile current advertising rates from news media
  • Book advertising space based on an advertising plan/schedule
  • Coordinate and communicate specification details with the Department and news media  
  • Maintain financial records

Sponsorships (endowment funds and annual sponsorships for post-secondary institutions, regional donations, political donations):
  • Maintain and update information on the online sponsorship database, as required
  • Coordinate and communicate sponsorship details with the Department
  • Liaise with donors and sponsorship candidates to ensure information is communicated in a timely fashion

Media monitoring:
  • Distribute clipped news articles in relation to Canfor
  • Manage, maintain and update information on the online news article Database
  • Coordinate on-boarding of a media monitoring system
Social Media:
  • Monitor and manage Canfor's presence in social media sites
  • Work with appropriate departments in a quick and timely fashion to ensure Canfor messaging is conveyed in postings
  • Build and maintain Canfor’s social media networks for continuous promotion
  • Monitor effective benchmarks for measuring the impact of social media programs, and analyze, review, and report on effectiveness of campaigns in an effort to maximize results.

Miscellaneous:
  • Assist the Department in general activities such as:
  • Generating holiday cards distribution list
  • Managing, updating and maintaining the Department’s lists of contacts
  • Checking and responding to corporate email accounts
  • Maintaining the email newsletter contact database
  • Booking travel

Qualifications:

  • Degree in Communications, Journalism or Social Media – or a minimum of 5 years progressive work experience in a related field;
  • Event planning experience;
  • Demonstrated proficiency and expertise in social media;
  • Highly proficient in Microsoft Office, including Excel and PowerPoint; Excellent written and oral interpersonal communication with marketing and communications skills; media relations experience is an asset
  • Ability to work independently and the desire to work in a fast paced dynamic environment;
  • Flexibility, ability to multitask, detail-orientated and positive; and
  • Good knowledge of the social media world.
